- Personal data submitted is used to respond to enquiries and, where a matter proceeds, to carry out the agreed work.

Documents that name other people
A lease, a restoration estimate or a sale contract rarely concerns the sender alone. It names a landlord, a managing agent, a guarantor, sometimes a previous tenant or a neighbouring owner. When such a document is sent to the office for review, the Company handles those names and addresses only for the purpose of reading the document, and does not contact the people named unless the sender asks it to and agrees the wording of that contact in advance.
Where only part of a document is relevant, the office will say so and suggest that the remaining pages be withheld or blacked out. A review can usually be completed on a copy with account numbers, seal impressions and guarantor details masked.
Photographs of rooms
Restoration disputes are often decided on photographs: the state of flooring, walls and fittings at move-in and at move-out. Photographs sent for this purpose can show the inside of a home and personal belongings. They are viewed only by the person preparing the written review, are not published or reused as examples, and are deleted with the rest of the matter file when the retention period below ends.
How long a matter file is kept
A written summary may be relied on months later, when a renewal comes round or a deposit is returned short. For that reason the Company keeps the documents and correspondence for a matter for five years from the date of the written summary, then deletes them. An enquiry that did not become a matter is deleted after one year. Either period can be shortened at the sender's written request, provided the office is not then asked to answer questions about a summary it can no longer check.
The Act on the Protection of Personal Information
The Company handles personal information in line with the Act on the Protection of Personal Information (APPI). Personal data is not provided to a third party without consent, except where the law requires it. If a matter needs a lawyer or a judicial scrivener, the office will name the professional it suggests and pass on documents only once the sender has agreed.
